Box Office Coordinator

The Folk Festival Society of Calgary is a vibrant, active, year-round arts organization powered by 14 staff and 1900+ volunteers that produces the 45-year-old ‘post-folk’ festival annually at Prince’s Island Park, the winter Block Heater winter festival and concerts at our own Festival Hall and other venues around Calgary.
Position overview:
The Folk Festival Society of Calgary (FFSC) is seeking a full-time Box Office Coordinator to join our team. Reporting to the Financial Director, the Box Office Coordinator works closely with the marketing, development and volunteer departments. The position’s primary focus is to oversee and implement the ticketing sales cycle, offering customer support on the phone, in person and through email, plus some general reception and office management duties. On a year round basis, this role participates in training and supervision of volunteers for office support, concerts and the festival box office. This position requires some lifting and carrying, loading and unloading of box office equipment and event equipment will be required with relative frequency. The starting salary range for this position is $48k-$51k depending on relevant experience.
Key responsibilities:
- Ticket sales management: manage sales cycle both during the year and at special events, including on-site box office during festivals and concerts.
- Customer service: respond to queries and general audience communication through the phone, in-person, general inbox.
- Financial reconciliation: accurately handle cash and credit transactions, perform end-of-day reconciliation, and prepare financial reports.
- Reporting: prepare box office sales reports and perform data analysis for other departments and artist representatives.
- Box office services at events: collaborate with the team to ensure accurate ticketing information, capacities and seamless event execution at our festivals and events.
- Volunteer supervision: provide effective leadership for office support and reception support crews as well as the annual summer student, including workload designation and scheduling. Work closely with box office volunteer coordinators for Festivals.
- Office reception: This position is an in-person role which requires attendance in office at Festival Hall.
- Office administration support: ordering of office supplies and assist with office equipment inventory and management ie. photocopier, phones, etc.
- Other duties as required.
Qualifications:
- Experience: Previous experience in a box office or customer service role preferred.
- Skills: Excellent communication and interpersonal skills, strong organizational abilities, and acute attention to detail.
- Technical competencies: Familiarity with point-of-sale and ticketing systems, numerical proficiency, Microsoft excel/ Google sheets. Specific experience with Eventbrite and Airtable are considered assets.
- Flexibility: Ability to work evenings and weekends as required by the event schedule.
- Education: Post secondary certificate, diploma, degree or equivalent; a certificate in bookkeeping, event management or related field is advantageous.
